How to generate a Transfer Certificate (TC) online for schools in India
A step-by-step, legally compliant guide for principals and admin staff — plus how Devryon automates TC issuance from a 3-day paper process to under 5 minutes.
What is a Transfer Certificate?
A Transfer Certificate (TC), also called a School Leaving Certificate, is a mandatory statutory document issued by a school when a student leaves — whether for another school, another board, or after completing the highest class offered. Without a valid TC, the next school cannot legally admit the student in most Indian states.
The 22 mandatory fields in an Indian TC
Every board (CBSE, ICSE, and state boards like Maharashtra, Karnataka, Tamil Nadu, UP) requires the same core fields. Missing any of them can invalidate the certificate:
- School name, address, and affiliation number
- Book number and TC serial number
- Admission number
- Student's full name (as per birth certificate)
- Mother's and father's names
- Nationality, religion, caste, and sub-caste (if applicable)
- Date of birth (in figures and words)
- Place of birth
- Date of first admission
- Class in which admitted
- Class in which studying / studied last
- Whether qualified for promotion to next higher class
- Subjects studied
- Whether the student has paid all school dues
- Whether the student has been in receipt of any fee concession or scholarship
- Total working days and days present
- NCC / Scouts / Guide / Games participation
- General conduct
- Date of application for TC
- Date of issue of TC
- Reasons for leaving the school
- Any other remarks
The manual TC process — and why it breaks
Traditionally, TCs take 2–5 working days: parent files an application, clerks pull the physical admission register, copy fields by hand onto a printed template, chase HODs for conduct remarks, get the principal's signature, log the TC number in the register, and hand-deliver the paper certificate. Every step is a failure point — wrong DOB, missing dues clearance, lost registers during audit.
How Devryon automates TC generation
- Fee & dues check runs first. The ERP blocks TC generation if there are pending fees, hostel dues, or unreturned library books.
- All 22 fields auto-fill from the student record — no re-typing, no transcription errors.
- Board-approved template renders in the correct format (CBSE, ICSE, state boards).
- Digital signature and TC serial are applied atomically, so no two TCs can share a number.
- Delivered instantly via the parent app and email, with a permanent audit trail.
Time to issue: 3 days → under 5 minutes. See it inside Devryon School ERP or read our deep dive on TC automation.
Legal & compliance notes
- CBSE-affiliated schools must retain a duplicate TC counterfoil for at least 5 years (CBSE Bye-laws, Chapter VIII).
- Duplicate TCs may only be issued on a written affidavit and are marked "DUPLICATE" in red.
- Under RTE Act 2009, TCs cannot be withheld from students in classes I–VIII — even for unpaid fees.
- State-board schools must follow the format prescribed by their respective state education department.
