Online Transfer Certificate (TC) Generation Guide for Indian Schools

Manual TCs waste hours and invite errors. Here's how CBSE, ICSE and State-board schools automate Transfer Certificate generation end-to-end.

Quick answer

Manual TCs waste hours and invite errors. Here's how CBSE, ICSE and State-board schools automate Transfer Certificate generation end-to-end.

A School Transfer Certificate (TC) is the most requested — and most manually generated — document in Indian schools. Between board-specific formats, clearance checks (library, fees, transport, hostel), and the principal's signature, a single TC can take 3–7 working days. This guide shows how modern school ERPs automate the whole workflow in minutes, and what CBSE/ICSE/State board schools should check before rolling it out.

What a Transfer Certificate actually contains

Every TC — regardless of board — must include: student's full name, parents' names, date of birth (in words and figures), admission number, admission date, class last attended, date of leaving, reason for leaving, character/conduct remark, any dues pending, and the school seal + principal signature. Boards then add specific fields on top of that.

CBSE TC format

CBSE affiliated schools follow the format prescribed in the CBSE Affiliation Bye-Laws — it additionally requires nationality, category, subject of study, whether qualified for promotion, and CBSE affiliation number.

ICSE / CISCE TC format

ICSE schools use the CISCE TC format — it emphasises class-wise attendance percentage, medium of instruction, and subjects offered in the last board exam.

State board TC formats (SSC, HSC, GSEB, etc.)

State boards use a common Leaving Certificate (LC) template with fields for caste category, mother tongue, and previous school details. Maharashtra SSC, Gujarat GSEB, Tamil Nadu, Karnataka, and UP boards each have minor variations — a good school ERP ships all these formats out of the box. See our school ERP page for the module list.

The old way vs the automated way

Manual TC generation looks like this: parent submits a request → clerk pulls the physical file → chases library, fee counter, and hostel warden for "no-dues" clearance → drafts the TC on a Word template → gets three signatures → hands it over. That's a 5–7 day cycle with 3–4 handoffs and a high error rate on names, dates, and admission numbers.

Automated TC generation flips it: parent raises the request from the Parent app → the ERP pulls the student record directly from the Student Information System → automated no-dues checks run against fees, library, transport, and hostel modules → the correct board template auto-populates → principal e-signs → TC is emailed to the parent and archived with a QR code for future verification. Total time: under 5 minutes.

The 6-step online TC workflow

  1. Parent/guardian raises TC request from the Parent app or admin desk, with reason for leaving.
  2. Auto no-dues check — the ERP verifies pending fees, library books, transport charges, hostel dues, and lab equipment in one query.
  3. Alert on holds — if any module has dues, the parent gets an itemised alert with pay-online link. See how our fee management module handles this.
  4. Auto-populate the board template — the ERP picks the right CBSE / ICSE / State format based on school configuration and merges 20+ fields from the student record.
  5. Principal e-signs — digital signature is applied, PDF is generated with a unique QR code.
  6. Deliver + archive — TC is emailed to the parent, downloadable from the Parent app, and stored in the student's permanent record. QR code lets any receiving school verify authenticity.

QR verification: why every 2026 TC needs one

Fake TCs are a real problem — receiving schools have no easy way to confirm a TC is authentic. A QR code on the TC (linked to a public verification URL that returns "issued by X school on date Y") solves this permanently. Modern school ERPs generate this QR automatically; parents get a tamper-proof document.

Record retention & re-issue

Under CBSE bye-laws, TCs must be retained permanently in school records. If a parent loses the TC, the school should be able to re-issue a duplicate marked "DUPLICATE — Original issued on {date}" in under 60 seconds. If your current process needs a physical file search, you have a compliance risk.

Common mistakes to avoid

  • Free-text date fields — always use a date picker to prevent DD/MM/YYYY vs MM/DD/YYYY confusion.
  • Skipping the "conduct" field — required by CBSE and most State boards.
  • Manual admission number entry — auto-pull from the student record to prevent typos.
  • Not archiving the signed PDF — re-issues become impossible.
  • Missing QR code — leaves the receiving school no way to verify.

Board-specific TC field checklist

CBSE: Nationality, category, mother tongue, subjects, promotion status, CBSE affiliation number, working days present.
ICSE: Class-wise attendance %, medium of instruction, subjects last studied, index number.
Maharashtra SSC: Caste, sub-caste, place of birth, previous school, LC serial number.
Gujarat GSEB: Local guardian, GR number, medium, standard promoted to.
Tamil Nadu / Karnataka: Community, religion, promotion status, mother-tongue.
